Path Structure and Locations

Fairly self explanatory - each section is 'owned' by the relevant officer or members responsible.  President / Secretary = Governance, VP & Bugle & Website team = Communications , Treasurer = Treasurer.

File naming is flexible but should include the relevant year and a descriptive name:

  • 202010_2020 CHAPTER ROSTER.XLS
  • 202311_Two Bell Script.docx
  • 241120_2024 MOAA Budget Summary.xls

 

Photo location and tagging

Photos can be stored in:

Documents\Communications\Photos

or

emailed to Chris McManus or Carrie Nielsen

Naming convention:

    • Four digit Year - Month Short Desc - ##.jpg
      • 2025-05 Teams Computer Training - 01.jpg
      • 2025-05 Teams Computer Training - 02.jpg

Direct File Access to Teams Files

  • Set up OneDrive file sync on your computer
  • Can be done without actually syncing files - won't take up drive space
  • In Teams, use the "Add shortcut to OneDrive" link to either add an individual folder ("Governance" or "Treasurer") or a link to the overall file structure "MOAA of Olympia - Documents" - allows access to all documents in Teams you have access to

Project Coordination

  • Files can then be edited by more than one person in turn
  • File stays in one place (in the cloud) so it doesn't need to be emailed back and forth
  • If more than one person needs access to files but shouldn't be able to change them (Scholarship Review), files can be locked to view only
